Privacy Policy

This policy explains what Servicebook (useservicebook.com) collects, why, and what we do with it. Short version: we collect what’s needed to run a maintenance logbook for your company, we don’t sell it, and your organization’s data is walled off from every other organization.

What we collect

Account information — your name, email address, and password (stored as a secure hash; we never see the password itself).

The records your team enters — equipment details, work orders, maintenance logs, tool custody entries, parts counts, locations, notes, and photos or documents you attach. This is your organization’s data; you control it.

Basic technical information — the kind every web service receives: IP address and browser type in server logs, used for security and troubleshooting.

We do not collect precise location from your phone, contacts, or anything from your camera beyond the photos you deliberately take or the QR codes you deliberately scan. There are no advertising trackers.

How we use it

To run the service: showing your team its records, sending sign-in and invitation emails, and reminders your organization sets up.
To keep the service safe: preventing abuse, investigating errors.
That’s it. We don’t sell personal information, and we don’t use your data for advertising.

Who can see your data

Your own organization — according to the roles its owner and managers set (owner, manager, tech, crew; per-building access applies).
Other organizations: no one. Access is enforced per organization at the database level. Scanning one of your QR labels without membership in your organization shows nothing.
Our service providers, only as needed to host the service: Supabase (database, authentication, and file storage) and Vercel (serving the app). They process data on our behalf under their own security commitments.
Legal requests — we disclose data only if legally required, and we’ll tell you unless the law forbids it.

On your device

The app stores small conveniences in your browser (which company you last viewed, your preferred label size, a local log of recent errors so you can share it with support). This stays on your device and you can clear it by clearing site data.

How long we keep it

Your records exist so history isn’t lost — that’s the product — so we keep them until your organization deletes them or asks us to. When an account or organization is deleted, its data is removed from the live database, and disappears from backups as those age out.

Your choices

Export your data any time (CSV exports are built into the app).
Correct or delete records from within the app.
Ask us to delete your account or your organization’s data: support@useservicebook.com.

Security

Connections are encrypted (HTTPS). Data is stored with a major cloud provider with encryption at rest. Every request is checked against your organization membership and role at the database layer, not just in the app. Attachments live in private storage and are served through short-lived signed links. No system is perfectly secure, but isolation between organizations is the foundation this product is built on.

Children

Servicebook is a workplace tool and isn’t directed at children under 16.
